POS software for a Bahrain retail business must print correct 10% VAT receipts, take BenefitPay and card payments, produce Arabic and English receipts, keep stock accurate across branches, and keep selling when the internet drops. Beyond that, the right point of sale system depends on how many branches you run, whether you sell online too, and how much of your process a packaged product can handle. This guide lists what to check before you buy.
What must a POS system handle for VAT in Bahrain?
Bahrain charges VAT at 10%, administered by the National Bureau for Revenue (NBR). Your POS is where most VAT records start, so it needs to get the details right.
- Receipts that show your VAT registration number, the VAT amount and the total including VAT
- Correct handling of items that are zero-rated or exempt, alongside standard-rated items on the same receipt
- VAT-inclusive shelf and screen prices, with the tax calculated back correctly
- Returns and refunds that reverse VAT properly, with a credit note trail
- Daily Z reports and period VAT summaries your accountant can use for the NBR return
- Exports to your accounting system, so VAT is not re-keyed by hand
Ask the vendor to show a mixed receipt with a discount and a return. That one test reveals most VAT problems. Your accountant should confirm the receipt format matches what applies to your business.
Which payment methods should the POS support?
BenefitPay is a daily habit for many shoppers in Bahrain, so the POS should accept it at the counter, ideally with the amount sent to the customer's QR or payment request automatically rather than typed twice. Card payments through local acquirers, Visa, Mastercard and Apple Pay, and cash with proper drawer control, are the rest of the basics.
- Split payments across cash, card and BenefitPay on one sale
- Card terminals linked to the POS, so the amount is not entered twice and tills reconcile
- Gift cards, store credit and loyalty points as payment methods
- End-of-shift reports by payment method and cashier
Do receipts need to be in Arabic?
Customers in Bahrain read Arabic, English or both, and many retailers print bilingual receipts. The POS should print product names, totals and VAT lines in Arabic and English, with Arabic rendered correctly on thermal printers. This is a common weak point. Some printers cannot print Arabic text properly, and some software prints Arabic letters disconnected or in the wrong order. Test receipts on your own printer model before you buy.
Digital receipts by SMS, email or WhatsApp reduce paper and let customers find their purchase later for returns.
How should multi-branch stock work?
With more than one shop, stock becomes the main reason to change POS. You need one product catalogue, per-branch stock levels, and transfers that move stock out of one branch and into another with a record of both sides.
- Central product and price management, with branch-level price exceptions if you need them
- Purchase orders, supplier receipts and reorder points per branch
- Stock counts on handheld scanners, with variance reports
- Batch and expiry tracking for food, cosmetics and pharmacy items
- One stock pool for the shops and the online store, so the website does not sell what you do not have
Many Bahraini retailers also serve customers from Saudi Arabia's Eastern Province, and some run branches on both sides. If that is you, the system needs per-country settings for currency, VAT rate and receipt format. You can read more about building for this market on our Bahrain software development page.
Does the POS need an offline mode?
Yes. Internet outages happen, and a till that stops selling costs you sales and customers in a queue. A proper offline mode keeps sales, receipts, payments by cash and card, and stock movements running locally, then syncs to the back office when the connection returns. Ask the vendor what is blocked offline, for example gift card balances or loyalty redemptions, and how conflicts are handled when two branches sell the last unit.
What hardware will you need?
- A POS terminal: Windows PC, Android device or iPad, depending on the software
- A thermal receipt printer that prints Arabic correctly
- Barcode scanners, and a label printer if you print your own barcodes
- A cash drawer connected to the printer
- Card terminals from your acquiring bank
- A customer display, if you want shoppers to see each item and the total
- Handheld scanners for stock counts and receiving
Before buying new hardware, check what the software supports. Most standard ESC/POS printers and USB or Bluetooth scanners work with modern POS software, so you may be able to keep what you have.
Should you choose an off-the-shelf POS or a customised one?
An off-the-shelf POS is the right choice for a single shop with a standard process. It is quick to set up and the monthly cost is predictable. A customised POS makes sense when you have several branches, an online store, unusual pricing or promotions, a loyalty scheme you want to own, or an ERP that must receive every sale.
There is a middle path. Starting from a ready-made product and customising it gives you a working system quickly, with your specific rules added on top. Our POS software for Bahrain retail page explains how we set this up for the local market, and the point of sale system page lists the modules for retail and restaurants. When you need features no product offers, we scope them as custom software development.
Test any POS on your busiest hour: a queue, a return, a split payment and a printer out of paper. That is the demo that matters.
Questions to ask any POS vendor
- Can we see a VAT receipt with mixed rates, a discount and a return?
- Does BenefitPay work at the till without typing the amount twice?
- What exactly keeps working when the internet is down?
- Can we import our products, customers and stock from the current system?
- Who owns the data, and can we export it at any time?
- What does support look like on a Thursday evening or a public holiday?
