Many car rental businesses in the UAE and Saudi Arabia still run on registers, spreadsheets and WhatsApp. That works for ten cars. With fifty cars and two branches, double bookings, missed fines and unpaid damages start costing real money. These are the features we would insist on in any rent a car management software.

The ten features

  • A live availability calendar per vehicle and branch, so a car is never promised twice
  • Online booking from your website with deposits taken by card or payment link
  • Digital contracts with photos, signatures and a check-out and check-in inspection
  • Rates for daily, weekly and monthly rentals, with or without a driver
  • Deposit tracking and automatic refunds or deductions at return
  • Traffic fines and toll charges matched to the right contract and billed to the customer
  • Maintenance, insurance and registration reminders per vehicle
  • GPS tracking linked to the contract, with mileage and fuel on return
  • Invoices, customer statements and VAT or sales tax reporting
  • Reports on utilisation and revenue per vehicle, so you know which cars earn their place

UAE and Saudi Arabia differences

In the UAE, toll charges such as Salik and Darb and traffic fines are a daily reality, and 5% VAT must be shown correctly on invoices. In Saudi Arabia, invoices need ZATCA e-invoicing at 15% VAT, and Istimara (vehicle registration) expiry dates and traffic violations need tracking per vehicle and matched to the right contract. Good software handles both without workarounds.

Questions to ask the vendor

  • Can we import our current fleet, customers and open contracts?
  • Does it work on a phone at the counter and in the parking area?
  • Can customers book and pay on our own website?
  • Who owns the data, and can we export it at any time?
Utilisation per car is the number that decides whether a rental fleet makes money. Your software should show it without a spreadsheet.
