When off-the-shelf software stops fitting the business

The signs that a company has outgrown its tools, and how to approach custom software without betting everything on one big launch.

Most companies start on standard tools, and that is the right call. The question is when the workarounds start costing more than a system built for the job.

Signs you have outgrown your tools

  • The same data is typed into more than one system
  • Reports are assembled by hand from exports
  • A spreadsheet has become business-critical and only one person understands it
  • Staff have built personal workarounds for steps the software does not support

Do not plan a big bang

The safest approach is to automate the most painful process first, run it alongside the old way for a short period, then move to the next. Each phase pays for itself and reduces the risk of the next.

Keep integrations in mind

Custom software rarely replaces everything. It usually sits between an accounting system, a CRM and a website. Planning the integrations early avoids building another island.
